Building good habits that stick

The last piece is not another rule. It is turning all of it from a thing you learned once into a thing your business simply does.

Training days do not stick. Habits do

A single “AI safety” session, however good, fades within a few weeks. What lasts is a handful of small, repeated moments: the policy pinned somewhere people actually look, the golden rule said out loud when someone new joins, a quick check-in every few months rather than one big launch followed by silence.

Three things make habits stick where a training day does not:

• Make it visible, not filed away. Pin the one-page policy by the kettle or in the pinned message of your team chat. A rule nobody can see is a rule nobody follows.
• Say it out loud when it is relevant. When you hand someone a new laptop, or send the group a quick reminder after you catch something close to a mistake, the rule lands far better than it ever did in the original session.
• Revisit it on a plain schedule. Once a quarter, spend five minutes on it in a team catch-up. Has anything changed? Any new tool worth adding to the list? That is genuinely all it takes.

What to do if something does go wrong

Even with good habits, something will occasionally slip through: someone will paste the wrong thing into the wrong tool. What happens next matters more than the slip itself.

1. Speak up straight away. The person who made the mistake tells you, or whoever is named in your policy, the moment they notice. No blame, just speed. This is the single biggest factor in limiting any real impact.
2. Check the tool’s settings. Was training switched on? Is there a way to delete the conversation? Most reputable tools let you do both within a few clicks.
3. Work out if anyone needs telling. In most cases, a slip caught quickly and contained is the end of the story. Occasionally, if genuinely sensitive personal data was involved, it is worth a quick word with someone who knows your data-protection obligations.
4. Fix the gap, not just the incident. If the policy did not cover this case, add a line. If the settings were wrong, change them for good. Every near miss is free information about where your one page needs sharpening.

The businesses that handle this well are not the ones who never make a mistake. They are the ones where mistakes get raised in minutes rather than hidden for months.
